Executive Secretary to Chief Operating Officer 

Salary: 35,000-38,000.  

Reporting to and offering 1:1 support to the Chief Operating Officer of a Care Home Provider who operates 33 care homes throughout London, Essex, Milton Keynes and Cambridge. The position is based at our Head Office in Bromley, Kent. 

The COO is extremely driven, task focused and busy! 

This person will provide vital secretarial, analytical and meeting facilitation support and leadership. You will be a fast-paced and forward thinking, incredibly organised Executive that brings flair and energy.  You will be a stickler for detail and through attending the senior/project management meetings, identify and facilitate the execution of actions/outcomes from the meeting. If you have previous experience within the health and social care sector you will understand the importance of our regulator – CQC and our legal and legislative responsibilities. 

One of your main responsibilities will be the organisation and management of all senior management and project management meetings including:

  • Scheduling and calendar management
  • Advanced formatting skills required to provide innovative support and redesigning of meeting formats and project/action tracking through the use of technology 
  • Action point note taking and insertion into action tracking format.
  • Manage this process through action setting and update COO with completed actions and update tracking. Evidence progress and any non-compliance of actions set for senior management  Set outstanding tasks as required.
  • Continually follow up and carry out quality assurance checks on progress of actions set.
  • Support the COO and CEO with completion of actions set for themselves 
  • Prepare and communicate agendas in a timely manner
  • Brief COO ahead of meetings 
  • Meeting preparation including presentations and analytical data 

Required Capabilities & Experience: 

  • Experience or an understanding of the care home sector and management accounts desirable but not essential
  • Understand the importance of increasing productivity/set outcomes from the meetings and implement effective methods to ensure senior management are meeting the individual actions set.
  • Demonstrable toolkit of ideas for designing meeting programmes and concepts
  • Meeting facilitation experience/comfort and experience with public speaking
  • Excellent communication and interpersonal skills
  • Ability to influence key stakeholders internally and externally
  • Experience working in a highly matrixed organisation and leading and participating in teams
  • Ability to work creatively in a fast-paced environment
  • Juggle and maintain demanding timelines.
  • Adaptability and flexibility to meet changing priorities
  • Exceptional attention to detail and ability to work simultaneously on multiple priorities
  • Strong organisational, planning and project management skills
  • Good problem solving skills
  • Strong influencing and negotiation skills
  • Clean driving license and car owner as some meetings will be held in the care home regions of Cambridge; Essex; Milton Keynes and London. 

Expenses will be fully reimbursed for any company travel.
